Privacy Policy
We will never sell your information, or your customers' information. Not to advertisers, not to data brokers, not to anyone. We don't use it for advertising, and we only share it with the service providers we need to run Wolford Solutions, listed on our Subprocessors page.
This Privacy Policy explains what information Wolford Solutions Co. ("we", "us") collects when you use Wolford Solutions (the "Service"), how we use it, and your choices. It is part of our Terms of Service. This policy may change at any time; check this page for updates, and see the date at the top for when it last changed.
1. Two kinds of information
Information about you, our customer. Your account details, your business's details, how you use the Service, and billing information. We decide how this is used, as described below.
Information your business puts in about its own customers and employees (contacts, addresses, jobs, messages, files and so on). We handle this only on your business's behalf and on its instructions, to provide the Service. Your business is responsible for telling its customers and employees how their information is used and for having any consent it needs. If one of your customers asks us about their information, we will pass the request to you.
2. What we collect
- Account information: name, email address, password (stored only as a secure hash), and the businesses and roles you belong to.
- Business information: what you enter in the Service, such as company profile, contacts, opportunities, jobs, quotes, invoices, messages, notes, photos and documents.
- Billing information: your plan, add-ons and payment history. Card details are collected and held by our payment processor (Stripe); we never see or store full card numbers.
- Usage and device information: pages visited, actions taken, IP address, browser type and times, which we use for security, troubleshooting and improving the Service.
- Communications: messages you send us, including feedback and bug reports sent with the help button, and the page you were on when you sent them.
- Connected services: if you connect Google Calendar or QuickBooks, the information needed to sync with them.
3. Cookies
We use only the cookies the Service needs to work: one that keeps you signed in and one that protects forms from forgery. Your browser also stores a few display preferences (such as light or dark mode) on your device. We don't use advertising or tracking cookies.
4. How we use information
- To provide, maintain, secure and support the Service.
- To bill you and manage your subscription.
- To send service messages: invitations, password resets, receipts, notices about your account and changes to these documents.
- To troubleshoot, prevent abuse and fraud, and keep the Service secure, including logged support sign-ins when you need help.
- To understand how the Service is used and improve it.
- To comply with the law.
We will never sell personal information, share it for cross-context behavioral advertising, or use your business's customer data for our own marketing.
5. Who we share it with
- Service providers (subprocessors) who host, email, text, bill or sync for us, bound to use it only to provide their service to us. The current list is on our Subprocessors page.
- The people in your business according to the roles and permissions your business sets.
- When required by law, or to protect the rights, safety and property of our customers, the public or us.
- In a business transfer, such as a merger or sale of the Service, in which case this policy continues to apply to the information transferred.
- With your direction or consent, for example when you connect another service.
6. How long we keep it
We keep information while your account or business is active. After a business is closed, we may delete its data after 30 days, and copies in backups are deleted as those backups expire, normally within a further 30 days. We may keep limited records longer where the law requires it, for example billing records and the record of which version of our terms you accepted.
7. Security
We use reasonable measures to protect information, including encrypted connections, hashed passwords, access controls that keep each business's data separate, logged support access and regular backups. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we learn of a breach affecting your information, we will notify you as the law requires.
8. Your choices and rights
- Access and export: your business can export its data at any time from Settings.
- Correction: you can update most information yourself in the Service.
- Deletion: an owner can close a business in Settings, which deletes its data as described above. To delete your own account, contact us.
- Email: you can opt out of any non-essential email we send; service messages about your account are part of the Service.
- State privacy rights: depending on where you live, you may have the right to know, access, correct, delete or obtain a copy of your personal information, and to not be discriminated against for exercising these rights. Since we never sell or share personal information for advertising, there is nothing to opt out of there. To make a request, email the email address on our website. We will verify the request and respond within the time the law requires.
9. Children
The Service is for businesses and is not directed to children. We do not knowingly collect information from anyone under 16.
10. Where information is processed
The Service is hosted in the United States. If you use it from elsewhere, your information will be processed in the United States.
11. Changes to this policy
We may change this policy at any time by posting the new version here with a new effective date. Check this page regularly. Your continued use of the Service after a change means you accept it. For material changes we may also notify you and ask you to agree again.
